BROCHURE

What is RuleDesigner Supply Chain?

RuleDesigner Supply Chain is a collaboration platform that digitises the custom order management process. Its goal is to eliminate fragmented and disconnected workflows (such as manually sending drawings via email), offering a solution that:

  • Standardises and automates communication between the purchasing department, technical department and suppliers.
  • Eliminates errors and the use of outdated design revisions.
  • Ensures full traceability throughout the entire order lifecycle.
  • Guarantees greater efficiency and accuracy in the purchasing and production process.

Keypoint

Elimination of Errors

Thanks to direct integration with PDM, the portal ensures that suppliers always download the correct, up-to-date drawings and documentation, eliminating the risk of producing with obsolete revisions.

Standardised Process

Replaces fragmented emails and disconnected communications with a single, structured digital workflow that is consistently repeated for every order.

Complete Traceability

Every action, from order synchronisation to document download by the supplier, is recorded in a log, providing total visibility and proof of consultation.

Smart Synchronisation

Orders are only sent to the supplier when they reach a certain status in your ERP, ensuring that collaboration begins at the right time.

Proactive Deadline Management

The system sends automatic alerts for orders that are due or overdue, allowing the purchasing department to take timely action and prevent delays.

Speed for the Supplier

The simple, focused interface allows the supplier to quickly access their orders and download all technical documentation in a single ZIP file.

Full Visibility of Status

The purchasing department has a clear, real-time view of the status of each order, knowing whether it has been viewed, whether the drawings have been downloaded, and when delivery is expected.

Flexible Order Fulfilment Management

The portal allows you to manage both full and partial order fulfilments in a clear and simple way, providing the purchasing department with accurate data on incoming goods.

Reduced Procurement Times

By automating communication and standardising the process, the portal speeds up the entire purchasing cycle, from initial request to delivery, improving overall efficiency.

Key Features

Procurement Side

Centralised and automated management
Procurement teams can rely on dedicated tools for order and supplier management. The Dashboard provides a clear and up-to-date overview of open purchase orders (POs), synchronised in real time from the ERP system with all key information such as fulfilment status, issue dates, codes, days to expiry, linked supplier and value.

Control and traceability in one click
Consulting a single order allows you to view the details of the lines, with descriptive information, order, costs, quantities, notes and technical drawings. You can negotiate delivery dates directly from the portal, keeping track of the requested date and the date confirmed by the supplier. Advanced search tools allow you to filter orders based on different properties or search for all orders linked to specific product codes.

Supplier Side

Direct and simplified access
Suppliers receive detailed email notifications for each new order or change and have direct access to the portal to view the ODAs assigned to them. The dashboard is optimised to display a clear and manageable list of open or partially fulfilled orders, ensuring that information is always up to date and available on a single platform.

Two-way sharing and collaboration
The portal allows suppliers to easily download technical attachments for each individual item or for the entire order, consult the production list and additional notes. In addition, the supplier can upload documents such as certifications, manuals or other technical documentation, which is automatically linked to the product master data, creating a complete digital technical file that can be shared with downstream business functions and the end customer.

Error Reduction: By automating the sharing of drawings and data, it minimises the risk of human error, delays and misunderstandings, making the entire process more reliable and predictable.

Before & After the introduction of the supply chain portal

Process

Before the portal

After with RuleDesigner

Order management
Order management between Purchasing and Suppliers is manual, fragmented between emails and phone calls.
The purchasing department has a centralised, automated dashboard.
Document sharing
Technical drawings and bills of materials are sent manually via email. Risk of sending outdated versions.
The portal draws directly from the PDM. The supplier always accesses the correct and updated version.
Order Status
The status of orders is not very transparent. The purchasing department has to contact the supplier for updates.
The dashboard displays real-time status, and the colour-coded system highlights upcoming deadlines.
Access to data
Suppliers have access to files via email, which are not always organised.
The supplier has secure, profiled access, seeing only the orders that concern them and finding the data in a single location.
Traceability
There is no single record of communications and exchanges. It is difficult to trace who did what and when.
The ‘Activity Log’ records every action, providing a clear and verifiable record of every interaction.
